The Judiciary of the Republic of Trinidad and Tobago, headed by the Chief Justice, comprises the Supreme Court of Judicature and the Magistracy. The Judiciary is the third arm of the State, established by the Constitution to operate independently from the Executive as a forum for the resolution of legal disputes.

Executive Administrative Assistant

The Judiciary of the Republic of Trinidad and Tobago invites applications from suitably qualified persons to fill the position of Executive Administrative Assistant, on contract, for a period of three (3) years in its Court Protocol and Information Unit (CPIU). The CPIU provides protocol and facilitatory services to Judges, Judicial Officers and visitors to and guests of the court and also furthers a culture of service throughout the Judiciary. The Unit's activities support the creation of a more understandable, accessible and user-friendly Judicial System through stakeholder engagement and public education and information strategies.

Job Summary

The Executive Administrative Assistant will perform advanced secretarial work with related clerical duties. The incumbent will serve as an Executive Assistant to the Court Protocol and Information Manager. Duties include the performance of advanced stenographic duties with associated clerical duties of a secretarial nature. Work is performed with the highest degree of independence, requiring the exercise of a considerable amount of initiative, judgment and tact in dealing with a wide variety of official matters relating to the Court Protocol and Information Unit. Work is reviewed for neatness, accuracy and output by the official concerned.

Required Skills, Knowledge and Abilities

  • Considerable knowledge of modern office practises and procedures;
  • Knowledge of legal terminologies, abbreviations and types of documents;
  • Knowledge of Court Protocol;
  • Knowledge of the broad functions of the judiciary, as well as, the rules and regulations relating thereto;
  • Knowledge of application and use of the relevant software applications;
  • Skill in the composition and preparation of letters, memoranda, minutes and reports at the highest standard;
  • IT skills;
  • Ability to communicate clearly and concisely both orally and in writing;
  • Exhibit very good inter-personal skills;
  • Exhibit excellent organizational skills;
  • Ability to perform clerical duties of a secretarial nature;
  • Ability to establish and maintain effective working relationships with other employees, Judges, Magistrates, Registrars, other employees, other professionals and the general public; and
  • Ability to observe and maintain the highest level of confidentiality in an atmosphere that requires a character of impeccable integrity.

Minimum Training and Experience

  • Considerable experience in secretarial and clerical work in a court environment and training as evidence by the possession of at least five (5) GCE/CXC Ordinary level passes including English Language;
  • Evidence of successful completion of approved examinations in typing (minimum rate of 50 words per minute) and shorthand;
  • Must be computer literate and familiar with Microsoft Office Suite.
